Refund and Cancellation Policy

General Information​

1. Booking Confirmation

A booking is confirmed only upon receipt of the applicable advance or full payment and issuance of a booking confirmation by Tent N Trek.

2. Payment Policy

Domestic packages may require partial or full payment. International packages generally require a booking deposit with the balance payable before the communicated due date. Failure to pay on time may result in cancellation without refund.

3. Customer Cancellation

All cancellation requests must be submitted in writing via email. The cancellation date is the date Tent N Trek receives the written request. Verbal communication, WhatsApp messages or phone calls are not considered official cancellations unless acknowledged by Tent N Trek.

4. Domestic Package Cancellation Policy

Domestic travel packages involve advance payments to hotels, transport providers, activity operators and other suppliers. Cancellation charges are based on the actual amount recovered from suppliers. Tent N Trek shall refund only the amount, if any, recovered after deducting supplier cancellation charges, service charges, taxes, bank/payment gateway charges and administrative expenses. Minimum cancellation charges: More than 30 days – higher of 25% of package cost or actual supplier charges; 15–30 days – higher of 50% or actual supplier charges; 8–14 days – higher of 75% or actual supplier charges; Less than 7 days – 100%; No Show/Early Departure/Late Arrival – 100%. If any supplier declares a booking non-refundable, the amount remains non-refundable irrespective of cancellation date. Tent N Trek is not liable to refund amounts retained by suppliers from its own funds.

5. International Package Cancellation Policy

International package refunds are entirely subject to the policies of airlines, hotels, overseas DMCs, cruise operators and other suppliers. If any supplier declares a booking non-refundable, it remains non-refundable irrespective of the cancellation date.

6. Third-Party Supplier Policy

Tent N Trek acts solely as a travel organizer and facilitator. Refunds are governed by supplier policies. Tent N Trek shall not be responsible for amounts withheld or rejected by suppliers.

7. Overseas DMC Payments

Once payments are remitted to overseas DMCs, refunds depend solely on supplier approval. If an overseas DMC refuses or partially approves a refund, Tent N Trek will refund only the amount actually recovered and is not liable to compensate customers from its own funds.

8. Non-Refundable Items

Visa fees, visa processing charges, travel insurance, flight cancellation charges, airline fees, hotel deposits, cruise bookings, attraction tickets, permits, internal transport, forex losses, GST, TCS, bank charges, payment gateway charges, administrative charges, service fees, DMC deposits and peak season supplements are non-refundable unless refunded by the supplier.

9. Amendments

Changes to dates, hotels, flights or passenger details are subject to supplier approval and may incur additional charges. Where amendments are not permitted, the booking will be treated as a cancellation and a new booking.

10. Airline Refunds

Air ticket refunds are governed solely by airline fare rules.

11. Visa Refusal

Visa approval is at the discretion of the Embassy/Consulate. Visa refusal or delay does not automatically entitle the customer to a refund.

12. Refund Processing

Eligible refunds are processed only after receipt from suppliers and may take 30–90 working days.

13. Force Majeure

No liability for cancellations or losses caused by natural disasters, pandemics, government restrictions, political unrest, war, airline operational decisions, airport closures, weather, strikes, supplier insolvency or other events beyond reasonable control. Refunds depend on supplier recovery.

14. Unused Services

No refunds for early departure, late arrival, missed flights, missed sightseeing or unused services.

15. Chargebacks

Customers agree not to initiate chargebacks for confirmed bookings. Tent N Trek may recover associated legal, banking and administrative costs.

16. Administrative Charges

Reasonable administrative, banking, documentation and payment gateway charges may be deducted from eligible refunds.

17. Acceptance

By making payment, customers acknowledge this policy, understand Tent N Trek is an intermediary, and accept that refunds depend on third-party supplier recoveries.

18. Jurisdiction

Governed by the laws of India. Exclusive jurisdiction: Chennai, Tamil Nadu.
